For the post of PA PS to MD:
Company is looking for candidate with immediate effect as below:
Experienced: 12 years
Steno Computer Knowledge
Salary: rupees 12000/- to rupees 18000/
Qualification: Graduate
PS/PA to MD (Personal Assistant/Secretary to Managing Director) role provides full administrative and secretarial support to the Managing Director, ensuring smooth daily operations and effective use of their time. This involves managing schedules, correspondence, travel, and confidential information, while also handling sensitive issues professionally and taking initiative when needed.
Key Responsibilities:
• Diary Management:
Managing the MD’s calendar, scheduling meetings, and arranging appointments.
• Communication:
Handling incoming and outgoing communication (emails, phone calls, faxes), prioritizing and highlighting important matters.
• Administrative Support:
Drafting correspondence, preparing reports, organizing travel arrangements, and handling expenses.
• Confidentiality:
Handling sensitive and confidential information with discretion and professionalism.
• Research and Project Support:
Conducting research, assisting with projects, and ensuring the MD’s time is used effectively.
• Gatekeeper:
Serving as the first point of contact for the MD, managing access and screening calls.
• Office Management:
Maintaining a reliable filing system, managing the MD’s office, and ensuring smooth operations.
• Project Management:
Assisting with project coordination, tracking progress, and ensuring deadlines are met.
• Problem-Solving:
Addressing issues that arise in the MD’s absence and taking initiative to resolve them.
Skills and Qualifications:
• Excellent Communication Skills: Both written and verbal, including effective communication with internal and external stakeholders.
• Strong Organizational Skills: Ability to manage multiple tasks, prioritize workloads, and maintain a high level of accuracy.
• Discretion and Confidentiality: Handling sensitive information with professionalism and maintaining strict confidentiality.
• Proficiency in MS Office Suite: Including Word, Excel, PowerPoint, and Outlook.
• Time Management Skills: Efficiently managing time, prioritizing tasks, and meeting deadlines.
• Problem-Solving Skills: Ability to identify and resolve issues effectively.
• Ability to Multitask: Managing multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.
Office timing 9:30 till 7:30 normally.
